This Privacy Policy (this "Policy") describes how SEIWA Co., Ltd. ("we", "us") handles information we obtain through the AccuNote voice-note application and its related cloud services (collectively, the "Service").
2. Information We Collect
2.1 Account and authentication information
- Email address: used for sign-in via email verification code (we do not set or store passwords).
- Third-party sign-in information: when you sign in with Apple, Google, or Microsoft, the identifier, email address, and display name provided by that provider.
- Guest information: in guest mode (used without registering an email), only an anonymous identifier tied to your device.
- Profile information: display name (optional).
2.2 Content you create and store
- Audio recordings: microphone recordings and imported audio/video files.
- Transcripts, translations, and summaries: speech-recognition text, translation results, and AI-generated summaries and email drafts.
- Speaker information: speaker labeling and corrections.
- Marks and attachments: timestamped marks, comments, images, and other attached files.
- Custom vocabulary: terms you add to improve recognition accuracy.
2.3 Information collected automatically
- Usage logs: feature usage history and the duration of recognized audio (for billing and quota management).
- Access information: IP address and access timestamps.
- Device information: OS, app version, device type.
- Cookies and tokens: authentication tokens used to keep you signed in.
2.4 Billing information
Subscriptions (paid plans) are purchased and paid for through the Apple App Store or Google Play in-app purchase systems. Payment details such as credit card numbers are processed by those platforms; we do not obtain or store them. We only obtain the information necessary to manage your subscription status and usage quota.

4. Disclosure to Third Parties and Subprocessors
We do not provide personal information to third parties except as required by law or with your consent. However, to provide the Service, we engage the following providers as subprocessors and have them handle the minimum necessary data.

We require these providers, by contract or otherwise, to implement appropriate safeguards. Their processing is limited to the purpose of providing the Service.
5. Sharing and Collaboration
If you use the Service's workspace sharing feature, you can share your content (recordings, transcripts, etc.) with other users or with specified email addresses. Sharing is initiated by you, and recipients can access the content according to the permissions you grant (such as view or edit). Revoking a share withdraws the recipient's access.
6. Data Retention and Deletion

When you upgrade from guest mode to a registered account, content you created as a guest is, in principle, carried over to the same account.
7. Cookies and Tokens
We use authentication tokens and cookies to keep you signed in and to provide the Service. If you disable them, some features of the Service may become unavailable.
8. Security Measures
To prevent unauthorized access, loss, alteration, or leakage of information, we implement safeguards including:
- Encryption in transit (HTTPS / TLS)
- Encryption of stored data
- Hashed storage of authentication tokens and API keys, and HttpOnly cookie protection
- Restricted and managed employee access
- Regular review of our security posture
9. Your Rights
You may request disclosure, correction, addition, deletion, or suspension of use of your personal information. You can also delete your content and your account from within the app at any time. 10. Minors
If you are a minor, please use the Service with the consent of a parent or guardian.
11. Changes to This Policy

13. Governing Law and Jurisdiction
This Policy shall be interpreted and applied in accordance with the laws of Japan. Any dispute relating to this Policy shall be subject to the exclusive jurisdiction of the court having jurisdiction over the location of our head office as the court of first instance.
